1. Introduction

Flexlore Inc. ("Flexlore," "we," "our," or "us") operates a global SaaS platform for creating and sharing visual SOPs, onboarding materials, videos, quizzes and training workflows. This Privacy Policy explains how we collect, use, store and protect your personal information when you use our web and mobile apps. By using Flexlore, you consent to these practices.

2. Information We Collect

A. Account Information

  • Full name, email address, company/workspace name
  • Profile image (optional), phone number
  • Password
  • Access and role data (Owner, Manager, Editor, Viewer)

B. Usage and Activity Data

  • Quiz results and completion rates
  • Video uploads and recordings made via the app
  • Viewing time and interaction metrics
  • Device/browser, OS, IP, approximate location
  • Crash logs and error reports (via Sentry)

C. AI‑Generated Content

Optional AI modules (powered by OpenAI) process text inputs and step details to generate suggestions. These modules don’t analyze user identities beyond operational necessity. Users decide whether to use AI outputs.

3. How We Use Your Information

  • Provide and maintain the Services
  • Improve experience, product design and analytics
  • Manage subscriptions and payments (RevenueCat, Stripe, App Store/Play Store)
  • Send operational/account emails (SendGrid)
  • Ensure security, fraud prevention and reliability

We do not sell or rent personal information to advertisers or third parties.

4. Third‑Party Service Providers

Authorized subprocessors include AWS (hosting/storage), RevenueCat (subscriptions), Stripe (billing), Sentry (monitoring), SendGrid (emails) and OpenAI (AI generation). All follow industry‑standard data protection requirements (e.g., GDPR, CCPA).

5. CRM and Marketing Tools

We may use CRM systems for business communication and enterprise relations. Only necessary business contact data is stored and it is not used for advertising or resale.

6. Data Retention

We retain data while your account is active. After account deletion, data remains in backups for 30 days then is permanently erased, unless required by law or ongoing dispute.

7. User Rights

  • Access and edit profile information in the app
  • Delete your account by emailing support@flexlore.com
  • Request data export or correction at any time

We respond to verified requests within a reasonable timeframe and per applicable laws.

8. Data Security

All data is encrypted in transit and at rest. We use AWS‑level security, monitoring and role‑based access controls. No method of transmission or storage is completely secure; you acknowledge this limitation.

9. Children’s Privacy

Flexlore is intended for users 13+. In regions permitting younger use, parental consent is required. We do not knowingly collect data from children under 13.

10. International Data Transfers

Your data may be processed in the United States or other countries where our subprocessors operate. Transfers follow GDPR mechanisms such as Standard Contractual Clauses.

11. Changes to This Policy

We may update this policy to reflect new features, laws, or technologies. For material changes, we’ll notify you in‑app or by email.
